How to use MackLabs — from your first sign-in and the setup wizard to daily sales, scheduling, crew time tracking, and the mobile apps.

Getting started

MackLabs is a workspace for field-service businesses: sales pipeline, estimates and invoices, job scheduling, crew time tracking, photos, and documents — on the web and in mobile apps. Every company gets its own private workspace with its own database.

Your workspace and first sign-in

When MackLabs provisions your workspace, the owner receives a welcome email. Go to macklabs.ca/login and continue with Google using that same email address — you'll land straight in your workspace. Your workspace also has its own address, yourcompany.macklabs.ca, which works the same way.

If your email is attached to more than one workspace, you'll get a picker after signing in.

The setup wizard

Your first sign-in walks you through a two-minute setup. Everything you enter can be changed later under Super Admin → Company Setup.

  • Your company — name and industry.
  • Invoices & tax — who cheques are payable to, your e-transfer email, tax label and rate (e.g. HST 13%), tax registration number, website, Google review link, and brand colour. These appear on your estimates, invoices, and documents.
  • Your team — invite admins and coordinators by email (they sign in with Google).
  • Review & finish — confirm everything and accept the Terms of Service on behalf of your company.

Setup can't finish without the payment details — that's deliberate, so an invoice never goes out with blank payment routing.

Roles: who can do what

  • Staff — day-to-day basics.
  • Ops — operations pages: estimates, scheduling jobs, and team chat.
  • Admin — the full sales and team toolset.
  • Super Admin — everything, including Employees, wages, Timesheet approvals, User Roles, and Company Setup.

Only a super admin can grant roles (Super Admin → User Roles). The workspace owner is the first super admin.

Trial licences

If your workspace is on a trial, a banner at the top shows how many days are left. When a trial expires the workspace locks automatically — nothing is deleted. Contact MackLabs to move to a plan and pick up right where you left off.

Signing in & accounts

Web sign-in is Google-only

The web app signs in with Google — no passwords to remember or reset. Always start at macklabs.ca/login (or your workspace address) and use the email address you were invited with.

If your work email isn't a Google account, you have two options: attach your address to a Google account (google.com/account, "Use your existing email"), or use the mobile apps, which support email + password sign-in.

Crew accounts for the mobile apps

Field crew don't need Google. A super admin adds each crew member under Super Admin → Employees and sets their app password there. The crew member then signs into the mobile app with their email and that password — the app finds your company automatically.

Trouble signing in?

  • Web: make sure you're using the exact Google account that was invited — check the account chooser.
  • Web: if you were never invited, ask your workspace's super admin to add you under User Roles.
  • Mobile: your employee record must be active and have a password set — ask your admin.
  • "Trial expired" or workspace unavailable: the owner should contact MackLabs.

Sending email as yourself (Connect Gmail)

When you email an estimate or agreement from MackLabs, it goes out automatically from "Your Company via MackLabs" with replies delivered to your own inbox — nothing to set up.

Prefer the email to come from your own address? Open the account menu (your avatar, top right) and choose Connect Gmail. Google will ask you to approve once — you may see an "unverified app" notice; choose Advanced → continue. After that, everything you send goes from your own Gmail address, permanently.

The same menu shows "Gmail connected ✓" and lets you disconnect any time. Either way, customer replies always reach you.

Light and dark mode

Use the sun/moon toggle at the top right of the web app to switch themes. Your choice is remembered on that device.

Web app — Sales

Deal Tracker

Deal Tracker (Sales → Deal Tracker) is the pipeline: every deal from first inquiry through estimate to invoice, organized by stage. Open a deal to see its history, documents, photos, and money in one place. New inquiries can be captured on the web or from the Admin mobile app.

Estimates

Build estimates with line items and send them to the customer by email. Your branding — company name, colours, tax setup — comes from Company Setup automatically. When a customer accepts, carry the deal forward to a job and invoice without retyping anything.

Estimate emails send from your own Gmail address if you've connected it (see "Sending email as yourself" under Signing in & accounts); otherwise they go out from your company via MackLabs mail, with replies to you.

Invoices

Invoices carry your payment identity automatically: payable-to, tax number, and e-transfer address from Company Setup. Download as PDF or email them directly; reminder emails help chase what's outstanding. Use Invoice Tags to categorize invoices your own way.

If an invoice ever shows the wrong company details, fix them under Super Admin → Company Setup — new documents pick the change up immediately.

Customer Centre

Every customer in one list, with their deals, documents, and history linked. Use it to answer "what have we done for this customer?" in one click.

Site Photos & Setup Photos

Photo galleries tied to your deals and jobs. Crews and admins upload from the mobile apps (including burst capture on site surveys); the web galleries let you review, organize, and share.

Timesheets lookup

Sales → Timesheets looks up the hours logged against a specific job — handy when reconciling a job's labour against its invoice.

Web app — Team & scheduling

Schedule Jobs

Create jobs with date, time, and location, and assign crew. Assigned crew see the job in their mobile app, and every job gets its own chat thread so the crew, lead, and office stay on the same page.

Ops / Chat

Team messaging: per-job chats plus direct messages and groups you create. Mention someone to make sure they see it. The same chats appear in the crew app.

Crew Map

A live map of where crew clocked in, built from the GPS stamp taken at punch-in. Use it to confirm attendance, not to track people continuously — location is captured at clock events only.

Crew Rewards

A points program for crew: recognize good work, and crew watch their points in the mobile app's Rewards tab.

Employees, wages & timesheet approval

Super Admin → Employees is the crew roster: add people, set wages, mark them active or inactive, and set the app password that lets them sign into the mobile apps.

Super Admin → Timesheets is where the office reviews hours and breaks logged by the crew and approves them for payroll.

Optional modules

Some modules are enabled per workspace as part of your plan. If you don't see one of these in your menu, it isn't switched on for you — ask MackLabs about adding it.

What can be enabled

  • Analytics — activity and performance across your pipeline.
  • Pipeline Forecast — projected revenue from the deals in flight.
  • HR documents (Onboarding) — offer letters, onboarding packets, and compliance documents for crew.
  • Service-agreement e-sign — send agreements customers sign from their phone; the signed PDF is stored on the deal.
  • QuickBooks Sync — push invoices into QuickBooks Online.
  • Backups — scheduled workspace backups with verification.
  • Logs — sign-in and change audit trails.
  • Training — training materials for crew, surfaced in their app.
  • Partners, Royalty Reports, App Fleet, and other specialty modules for multi-branch operations.

Company Setup

Super Admin → Company Setup reopens everything from the wizard: company identity, invoice and payment details, tax settings, branding, and team. Changes apply to new documents immediately.

Mobile — Crew app (SMIDSY)

The crew app is for the field team: clock in and out, see jobs, chat, and photos. iPhone and Android.

Installing the app

  • iPhone — install from the App Store (or the TestFlight link during early access).
  • Android — download the app from macklabs.ca/downloads and open the file to install. Allow your browser to install apps if Android asks.
  • Android, replacing an old copy: if the install fails with "app not installed", uninstall the old app first, then install fresh — a one-time step after a signing update.

Signing in

Enter your work email and the password your admin set for you — the app finds your company automatically, no company code needed. If your email belongs to more than one company, pick the right one from the list.

No password yet? Ask your admin — they set it under Employees on the web.

Clock in, breaks, and your timesheet

The Clock tab is home base: punch in when you start, log breaks, punch out when you're done. Location is captured at each punch to verify attendance. The My Timesheet tab shows your hours for the pay period — flag anything that looks off to your admin before payroll.

Jobs, chat, photos & supplies

The Jobs tab lists what you're assigned to. Inside a job: the job chat (talk to the office and your crew), job photos, setup photos, and a supplies sheet where leads log materials used. The Chats tab carries team messages and direct messages.

More: profile, rewards, time off, training

The More tab holds your profile, your Rewards points, time-off requests, training materials, and any HR documents shared with you.

App updates

The app checks for required updates at sign-in and tells you when a new version is needed, with a link to get it.

Mobile — Admin app (MackLabs Admin)

The admin app puts the sales side in your pocket. iPhone.

Signing in

Sign in with your work email — the app routes you to your company automatically, with a picker if you belong to several.

What you can do on the go

  • Capture a new inquiry while you're still in the driveway.
  • Build and send estimates, and turn them into invoices — with your company's branding and payment details applied automatically.
  • Shoot site photos (including fast burst capture) and voice notes that attach to the deal.
  • Look up customer info, check the schedule, and see your team and crew locations.

Plans, billing & terms

How billing works

Workspaces run on a monthly plan agreed with MackLabs, invoiced monthly plus applicable tax (HST). Payment is by e-transfer for now. Trials convert to a plan when you're ready — nothing is lost in between.

Terms of Service and privacy

The agreement your workspace accepted during setup is always available at macklabs.ca/terms, and the privacy policy at macklabs.ca/privacy. Short version: you own your business data; MackLabs owns the platform.

Feedback & support

The feedback button

Every page of the web app has a Feedback button (bottom right). Use it to send bugs, feature requests, and issues straight to the MackLabs team — pick the type, describe it, done. Send as many as you like; each one lands directly with the developer.

It's a capture tool, not a chatbot: it won't answer questions, and there's no response SLA — but everything sent is read and worked on.

Contacting MackLabs

Email [email protected] for anything else: plan changes, new team members at scale, data exports, or questions this page doesn't answer.
